Who we are
Oktomer is a help desk that brings WhatsApp, website live chat and email into one inbox for small teams. Questions about your data: hello@oktomer.com.
On this website
- We set no cookie and store nothing on your device.
- We count visits and clicks with PostHog, hosted in the EU: the page you saw, the buttons you clicked, the link that brought you here (for example
?src=linkedin), and your browser and country. We don't build a profile of you, and each visit is counted on its own.
- If you pay, Stripe handles your card. We receive your name, email, company and invoice, never your card number.
- If you book a call, Cal.com receives the name and email you give it, and we see the booking.
- If you join a waitlist, we keep your email and the plan you chose, only to tell you when that plan is live. Ask us and we delete it.
When you use Oktomer
- Your account: your name, email, a hashed password, and the people you invite to your team.
- Your customers' messages: the WhatsApp, chat and email conversations your customers send you, with their name, email or phone number, and any file they attach. For this data, you are the controller and we are your processor: we handle it only to run your inbox, as set out in our data processing agreement.
- How the inbox is used: which messages arrive, how they are sorted, who replies and when, and each label you change by hand. We use it to run the service and to improve the sorting for you.
- The sorting: today, Oktomer sorts messages with rules that run on our own server. No message is sent to an AI provider. If that changes, we update this page and the list below 30 days before.
- WhatsApp: your WhatsApp number lives on your own Meta account. Messages go through Meta under your agreement with Meta.
Who else handles the data
We don't sell your data and we don't use it for advertising. These companies handle part of it for us:
| Company | What it does for Oktomer | Where the data is |
| Hetzner Online GmbH | Runs the server that hosts Oktomer and stores your conversations | Helsinki, Finland (EU) |
| Postmark (ActiveCampaign, LLC) | Receives the emails you forward to Oktomer and sends your replies and our notifications | United States |
| Cloudflare, Inc. | Domain name service for oktomer.com, and forwarding of emails sent to our own addresses | Worldwide network, United States company |
| Stripe Payments Europe, Ltd. | Takes payments and issues invoices | Ireland (EU) |
| Cal.com, Inc. | Books your calls with us | United States |
| PostHog Inc. | Counts visits and clicks on oktomer.com, without cookies | Frankfurt, Germany (EU) |
How long we keep it
- Conversations and your account: while your subscription runs. We delete them when you ask, or after your subscription ends.
- Backups: 14 days, then deleted.
- Invoices: as long as French accounting law requires.
Your rights
You can ask to see, correct, export or delete your data, or object to how we use it: write to hello@oktomer.com and we answer within 30 days. If your customer asks you about their messages, we help you answer. You can also complain to the CNIL (cnil.fr).
